*Univio consists of Univio sp. z o.o., Univio International Sp. z o.o. and Global4Net Sp. z o.o. In principle, the controller of your personal data is Univio sp. z o.o. If you are interested in establishing a relationship with another Group entity, the controller will be the agreed entity. Your personal data may also be shared with the above-mentioned Univio entities on the basis of a legitimate interest consisting of fulfilling internal administrative purposes and optimising business operations.

Where do we obtain your personal data from?
We generally obtain personal data directly from you. This is particularly the case when you browse the content of our website, send us an email, contact us using the telephone number provided, or complete and submit a contact form.
We also obtain personal data indirectly from you. This happens when we contact you using data you have made available on your professional LinkedIn profile or on other industry-specific services used to establish business relationships. In this context, we use only basic data to contact you in order to start a business relationship.
What rights do you have in relation to the processing of your personal data?
Below, we explain your rights relating to data protection and the processing of your personal data. The rights available to you in a particular situation depend on the purpose and legal basis for processing your data.
Right of access to data
You have the right to obtain information about the personal data we hold about you. This right applies to all processing of your data.
Right to rectification
You have the right to have personal data held about you rectified and/or completed without undue delay. This right applies to all processing of your data.
Right to restriction of processing
You have the right to ask us to restrict the processing of your personal data if you question the accuracy of the data held about you, if processing is carried out without a legal basis, if you have objected to the processing, or if we no longer need the personal data for processing purposes but you need it to establish, pursue or defend your claims.
Right to erasure
You have the right to request the erasure of your personal data held by us, provided that retaining the data is not necessary to ensure freedom of expression or access to information, comply with a legal obligation, serve the public interest, establish or defend claims, or assert rights under applicable law.

Right to lodge a complaint with a supervisory authority
If the processing of your personal data violates data protection legislation, or if your data protection rights have otherwise been infringed, you may lodge a complaint with a supervisory authority. The competent supervisory authority in Poland is the President of the Personal Data Protection Office in Warsaw. Before exercising this right, we encourage you to contact us first so that we can clarify any concerns.
Processing of your request
If you submit a request to exercise a particular right, we will respond within one month of receiving it. If we need to extend this period, we will inform you of the reasons for the extension.
We will respond to your request using the email address from which you submitted it. For requests submitted by post, we will respond by ordinary mail to the address you provide, unless it is clear from your letter that you wish to receive a response by email. In that case, please provide your email address.
Links to other websites
Where we provide links to websites of entities other than Univio, such as IT Corner, Clutch, social media or external publications, this Privacy Policy does not apply and does not describe how those entities process your personal data. We encourage you to read the relevant privacy policies available on their websites.

Part II. Data processing as part of using Univio.com, including cookies
Below, we explain the rules for processing personal data, including your IP address or other identifiers and information collected through cookies or similar technologies, which apply when you use Univio.com and browse its content.
For what purpose do we process your data?
We process your personal data to provide electronic services by making the content available on the website, as well as for analytical, marketing and statistical purposes.
On what legal basis do we process your data?
The legal basis for processing your personal data is:
- the necessity of processing for the performance of a contract, when we provide electronic services by making content available on our website;
- our legitimate interest in taking the actions necessary for the proper functioning of Univio.com;
- your consent, given by actively selecting the relevant option in the Cookiebot panel available on the website, for analytical, statistical and marketing purposes.
How long do we process your data?
We will process your personal data for as long as necessary to fulfil the purposes described in this Privacy Policy. If the legal basis for processing is consent, we will process the data no longer than for the retention period indicated in the Cookiebot panel for the relevant cookie, and in any event no longer than until you withdraw your consent.
Who receives your personal data?
Recipients of your personal data, meaning external entities that may participate in processing your data, include our trusted subcontractors: IT service providers for data hosting and business email services, as well as companies whose statistical, analytical and marketing tools we use. Nature of data provision
Your personal data, including your IP address, other identifiers and other information, is collected from the moment you connect to our website through cookies or similar technologies where these are necessary. Your IP address may indicate the country, city or other geographical area in which your device is located. The data may also include your browsing path and browser information. We collect this data automatically. You may block some of it by blocking cookies in your browser. The processing of data through non-essential cookies is entirely voluntary.
Other relevant information
We do not process your data outside the European Economic Area. However, please note that providers of analytics, marketing or preference tools, particularly Google, may process information about your online activities on servers in the United States. In such cases, Google may combine information it collects about you with information you provide when using external portals. This may mean that your personal data is processed outside the European Economic Area, under terms determined by the providers of those tools.

Analytical and marketing tools we use
Google Analytics and Google Tag Manager
We use Google Analytics and Google Tag Manager, provided by Google Ireland Limited, a company registered and operating under Irish law, with its registered office at Gordon House, Barrow Street, Dublin 4, Ireland. You can prevent Google from recording and processing data collected through cookies about your use of our website by installing the browser plugin available at this address.

Google Tag Manager is a tool that allows us to control code snippets and tags placed on our website. Tags allow various actions, including tracking user activity such as time spent on the website and scrolling. Google Tag Manager means that we do not have to add every tag to the source code of the website.

These tools allow us to collect statistical information about use of our website, such as IP address, device type and browser type. We do this to understand, among other things, the number of users using our website. This information is processed in a way that does not allow us to identify anyone directly.
Facebook Pixel
We use marketing tools available through Facebook and provided by Facebook Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland. Through these tools, we target advertising to users on Facebook.
To target personalised advertising based on your behaviour on our website, we have implemented Facebook Pixel, which automatically collects information about your use of our website, including the pages you view.
Information collected through Facebook Pixel is anonymous and does not allow us to identify you. We only know what actions users have taken on our website.
Facebook may combine this information with other information collected through your use of Facebook and use it for its own purposes, including marketing. Such activities are no longer controlled by us. You can find information about them in Facebook’s privacy policy. You can also manage your privacy settings from your Facebook account.
LinkedIn Pixel
We use marketing tools available through LinkedIn and provided by LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland. The LinkedIn Pixel is JavaScript code that collects data from the website. It helps us understand our audience and plan future activities more precisely.
The LinkedIn Pixel enables the segmentation of target users and helps determine where visitors come from. It allows teams to see how many clicks and referrals come from LinkedIn and how many are meaningful from the web.
Google Ads
We also use Google Ads to track conversions. Information about the use of our website is recorded in conversion tracking tags, encrypted and sent to Google. It may then be used to match users with Google accounts they were logged into when interacting with an advertisement.
Lead Forensics
We use Lead Forensics, a B2B sales and marketing tool operated by Lead Forensics, with its UK headquarters at Communication House, 26 York Street, London, W1U 6PZ, United Kingdom.
Lead Forensics uses tracking code to identify businesses visiting our websites based on their corporate IP addresses. This is not the same as cookies. The tracking code provides only information readily available in the public domain. It does not and cannot provide individual, personal or sensitive data about website visitors. Under no circumstances is the data used to personally identify a specific visitor. If IP addresses are collected, they are immediately anonymised. Information generated by the tracking code is sent to Lead Forensics and processed and stored in a secure environment in the United Kingdom.
Lead Forensics does not provide us with IP addresses. It provides information about which companies visited our website, the date and duration of the visit and the pages visited. This information allows us to analyse use of our website and potentially contact companies about their experience or for sales purposes. As an international company seeking to provide the best service, we may pass data to our subsidiaries and distributors where required. Personal data is not passed to third parties for any other purpose.
Part III. Data processing for the purpose of making an offer and establishing business cooperation
Below, we explain the rules for processing your personal data that apply when you contact us by telephone, email or through contact forms available on our website to request an offer of cooperation.
These rules also apply when we contact you using data from publicly available sources, such as LinkedIn or company websites, relating exclusively to business activities and for the purpose of establishing cooperation.
These rules also apply when we send you market research surveys, for example after a service has been performed.
For what purpose do we process your data?
When you provide us with data yourself, we process your personal data to answer your questions, make you an offer of cooperation, enter into a business relationship with you and measure your satisfaction with our services. The specific purpose of processing depends on the nature of the communication.
When we obtain your contact details from publicly available sources, we process them to contact you and find out whether you are interested in cooperation. If you respond positively, we process your data to offer you cooperation. If you respond negatively, we stop processing your data.
On what legal basis do we process your data?
The legal basis for processing your personal data is:
- your consent, given by sending us a specific question through the contact form, offer form or another form available on the website, or by using contact details available on the website or obtained by other means;
- the necessity to take steps before entering into a contract, in relation to presenting an offer and communicating with a view to concluding a contract;
- our legitimate interest, where your data is obtained from publicly available sources for the purpose of establishing a business relationship, limited to basic contact details that you make publicly available on LinkedIn, a website or provide to us directly. We have a legitimate interest in contacting you and offering an opportunity to cooperate;
- your consent, given during communication by telephone, email or LinkedIn, to process your data in the future for the purpose of making cooperation offers;
- our legitimate interest in conducting satisfaction surveys.
How long do we process your data?
We will process your data until you withdraw your consent and, for activities aimed at entering into a contract, for the duration of discussions or negotiations. Where the legal basis is our legitimate interest, we process your data until you object. Basic contact data obtained directly from you or from publicly available sources is processed only for the period necessary to establish contact, but no longer than 3 months.
If you have consented to receive cooperation offers from us, we will process your data until you withdraw your consent.
Who receives your personal data?
Recipients of your personal data, meaning external entities involved in processing your data, include trusted subcontractors supporting our operations, in particular FreshMail Sp. z o.o. or Woodpecker.co S.A., which provide tools for managing and sending bulk messages, Survicate Sp. z o.o., which provides a tool for collecting feedback, including post-sale surveys, and HubSpot Inc., whose CRM we use.
Nature of data provision
Providing your data is voluntary but necessary to answer your questions or conclude a contract.
Other relevant information
Your data will not be subject to automated processing or profiling. Your data will not be processed outside the European Economic Area, except for data processed in our CRM. HubSpot Inc. is a US company that may process data outside the EEA on the basis of standard contractual clauses ensuring adequate security for your personal data.

Part IV. Data processing for marketing purposes, including newsletter services
Below, we explain the rules for processing your basic contact data that apply when you agree to receive commercial information by email, including newsletters, or by telephone, by selecting the relevant checkbox on our website or completing a form in our Subscription Centre.
For what purpose do we process your data?
We process your personal data to provide you with commercial information, including information about our services, products and events we organise, such as Open Univio Tech Talks, as well as for other direct marketing activities. The purpose of processing your personal data is to establish a relationship and encourage you to use our services.
On what legal basis do we process your data?
The legal basis for processing your personal data is, in particular:
- your consent, given by selecting the checkbox next to the preferred form of marketing contact, such as email or telephone, available on our website;
- your consent, given by providing your preferred form of marketing contact in the Subscription Centre form;
- your consent, given on Univio.com to obtain a report or other valuable material prepared by us;
- our legitimate interest in maintaining business relationships with individuals and companies with which we cooperate.
You can withdraw your consent at any time by writing to iod@univio.com. Withdrawal of consent will not affect the lawfulness of processing carried out before the withdrawal.
How long do we process your data?
We will process your personal data until you withdraw your consent where consent is the legal basis, or until you object where the legal basis is our legitimate interest.

Part V. Data processing in connection with social media activities
Below, we explain the rules for processing personal data that apply when you use and communicate with us through our social media profiles on LinkedIn, Facebook, Instagram, X/Twitter or YouTube, referred to as “fan pages”. On our fan pages, we publish and share content, offers and recommendations of our services on an ongoing basis.
For what purpose is your data processed?
We process your data in connection with operating our social media profiles, including keeping you informed about our activities, promoting events, services and products, and communicating with you through social media functionalities.
Social media operators record your activity using cookies and similar technologies whenever you interact with our fan pages or other LinkedIn, Facebook, Instagram, X/Twitter or YouTube pages. Fan page administrators have access to general statistics about visitors’ interests and demographic data, such as age, gender and region. The scope and purposes of data processing on social media are determined by the operators of those websites.
On what legal basis do we process your data?
The legal basis for processing your personal data is:
- our legitimate interest in promoting our brand and building and maintaining a brand-related community.
How long do we process your data?
We will process your data as follows:
- We intend to store content and other data posted by you on our fan pages indefinitely. You can delete your comments under our posts, stop following us or cancel your social media account at any time.
- We intend to delete correspondence directly with us, for example via Messenger, 3 to 6 years after the last contact with us.
We process personal data collected on our fan pages as a controller in accordance with applicable data protection legislation. Since you are a social media user, the operator of the relevant social media platform is also a controller of your data, including Meta Platforms Ireland Limited for Facebook and Instagram, Google LLC for YouTube, X Corp. for X/Twitter and LinkedIn Ireland Unlimited Company for LinkedIn.
This is because you have entered into an agreement with the relevant provider that allows you to use the social media service. Information about how the platforms process your data is available in the relevant privacy policies of LinkedIn, Facebook, Instagram, X/Twitter and YouTube.
Who receives your personal data?
We do not independently intend to transfer data to third countries or international organisations. However, due to the public and international nature of social media, data published on fan pages may be accessible from anywhere in the world. The rules for processing data within individual social media services are determined by the relevant platforms.
Nature of data provision
Providing your data is entirely voluntary and is connected with your use of the individual platforms. Failure to provide it has no legal consequences.
